Account Ownership Policy


Accounts are owned by the organization detailed during signup, if this is a legal entity. If the organization is unincorporated, the account is owned by the individual who signed up for the account.

When you sign up and create a Quota account, the person who originally signed up for the account is default designated the primary Account Administrator, but the role can be reassigned. Unless the organization is not a legal entity, the account and data held it in, is ultimately owned by the organization.

In matters of third-party connected applications (eg Cloud Accounting applications), the connected data is owned by the organization, legal entity or individual to whom that account (eg General Ledger) is attributed to, and maybe under additional terms of service defined by the primary Account Administrator either as an individual or as an organization.

While the account data is owned by the organization, legal entity or individual who signed up for a Quota account, and the third-party connected applications (eg Cloud Accounting applications) data is owned by the organization, legal entity or individual to whom that account is attributed to, any augmentation of that data is owned by Quota Inc at the point of augmentation, as defined by Quota Inc.

Inviting Users to Quota

When you invite Users to your Quota Account, you are entirely responsible for making sure that any User you invite to Quota has validated their identity to you and has access to only the data they have permission to view or edit, where that permission is entirely decided by you.

Quota Inc cannot be held responsible in matters where a User is provided access to data they don’t have permission to access - nor will incur any liability in matters related to that wrongful access.

Be mindful when inviting users to your Quota account - be they employees, clients, advisors, business owners or assistants (however you define them and delineate them in your organization) that those Users who are given destructive (eg “Edit”) permissions should have access to those permissions and that data, and those Users who are given non-destructive permissions (eg “View) are only able to access data that they should have access to, and that in both cases, the person you are inviting has validated their identity to you. You can manage and oversee data access permissions at any time in Quota using the User Management feature.

If you become aware that a User has access to data which they should not have access to, it is your responsibility to remove that access as soon as possible and mitigate any effects that accessing that data may have had on the owner of that data in line with your own organization’s policies.

If you become aware that a User has an invalid identity or is acting under an assumed identity, it is your responsibility to remove that User as soon as possible and mitigate any effects that that User may have had in line with your own organization's policies.

If you become aware of any illegal, fraudulent or destructive actions by a User, it is your responsibility to remove that User as soon as possible and mitigate any effects that that User may have had in line with your own organization's policies, including reporting that User to the appropriate authorities if required.



Third Party Connected Applications

The data contained in third-party connected applications (eg Cloud Accounting applications) is the property of that organization, legal entity or individual to whom that account (eg General Ledger) is attributed to and remains their property, and is under the Terms of Service for that third-party connected application.

In matters of Terms of Service dispute, the terms of the data origin (eg Cloud Accounting application) will prevail. Terms of Service extend to the billing and payment policy of the data origin provider, and failure to keep a third-party connected application’s billing in good standing may affect the Service offered by Quota Inc - any effects are not the responsibility of Quota Inc. For example, failure to pay for a connected Cloud Accounting application may result in the failure of that application to connect to Quota, but this does not affect the Quota Terms of Service agreed to by the primary Account Administrator.

A third-party connected application (eg Cloud Accounting application) may alter their Terms of Service which may affect the Service offered by Quota Inc. A third-party connected application (eg Cloud Accounting application) may decide that their Terms of Service have been violated by the primary Account Administrator or designated User which may affect the Service offered by Quota Inc. In both cases as the third-party connected applications Terms of Service prevail, any effects are not the responsibility of Quota Inc. For example, not agreeing to or violating the Terms of Service of a connected Cloud Accounting application may result in the failure of that application to connect to Quota, but this does not affect the Quota Terms of Service agreed to by the primary Account Administrator.

The same goes for accuracy of data - as Quota cannot alter (or “edit”) the data stored in the third-party connected application (eg Cloud Accounting application) and only augment it, the accuracy of the data in the third-party connected applications (eg Cloud Accounting application’s General Ledger) should be seen as the point of accuracy in matters of audit or law. Therefore, amendments to the third-party connected application (eg Cloud Accounting application’s General Ledger) will affect the data shown in Quota - meaning that access to the third-party connected application (eg Cloud Accounting application’s General Ledger) and any changes (planned or unplanned, accurate or inaccurate) - are the responsibility of the primary Account Administrator.

While we go to extreme lengths to test and maintain the accuracy of the data shown in Quota, it is the ultimate responsibility of the Account Administrator and those they designate to ensure that any inaccuracy of data in Quota is investigated, reviewed and then, if of concern, reported to support@getquota.co, and that the data shown in Quota is under the professional scrutiny of the Account Administrator at all times.
